About the World Affairs Council

The World Affairs Council of Philadelphia organizes all the Travel the World trips for the national association of Councils and has been doing so for 35 years.  The Council began its extraordinary offering of educational tours with our landmark trip to the People's Republic of China in 1977, when we were among the first Westerners to visit China after the country was re-opened by Deng Xiaoping.  Since then, the Council has offered an annual program of tours on every continent including such diverse locations as Uzbekistan, Turkmenistan, and Kazakhstan; Peru and Cuba.  Because of our reputation as one of the nation's leading forums, the Council has established connections around the globe that allow us to offer members access that they can't get when traveling alone or on other tours. Job Overview

The Director of Concierge Tours will be responsible for three handcrafted itineraries created for corporations and other associations in and around the Greater Philadelphia area.  These short programs are designed to stimulate intellectual curiosity and go more in-depth than a standard tour including substantive private briefings with leading public figures and scholars.

Job Responsibilities and Duties:

  • Responsible for prospect cultivation. Advises on and drafts all communications and coordinates meetings with prospective clients identified in cooperation with the VP of Travel and President & CEO
  • Communicates directly with prospects as necessary
  • Works with VP of Travel to conceptualize, plan and implement customized tours for local corporations and associations focused on international affairs, foreign policy, current events, economics, geopolitics and world cultures
  • Write invitations to speakers to fill program content for tours
  • Develop and assess quantitative evaluation tools to increase program quality, impact and cost-effectiveness
  • Be person of contact for travelers before, during and after tours whether by telephone or email – process reservations, respond to inquiries
  • Manage timeline and prepare detailed to-do lists in advance of Concierge Tours
  • Maintain accurate sales information on spreadsheets.  Keep accurate financial records for tours including invoicing participants and paying vendors
  • Design and proof all marketing materials including printed pieces & e-blasts associated with the Concierge tours
  • Prepare all program-specific communications, including pre- and post-program correspondence
  • Accompany the group to manage tour venue(s) and logistics and facilitate all travel proceedings

QUALIFICATIONS:

  • B.A. required, M.A. in Travel & Tourism strongly preferred.
  • Prior experience in a travel setting required.
  •  2 – 3+ years program management and event planning experience
  • Experience with marketing and development research coordination for a non-profit including direct mail, telemarketing and online marketing
  • Advanced skills using MS Office (Word, Excel, Outlook)
  • Advanced skills using Adobe Creative Suite (Photoshop, Illustrator, InDesign, Dreamweaver)
  • Detail-oriented
  • Strong customer service skills, interpersonal communication and phone etiquette
  • Excellent verbal, written, and proofreading skills
  • Ability to manage multiple projects at once, with superior attention to detail
  • Ability to work and thrive in a collaborative, fast-paced environment
  • Some evening/weekend availability required

SALARY:

$25,000 consulting fee for a one year contract. 

 

Individual will be paid as a consultant/independent contractor based on approximately 20 hours per week. No taxes will be withheld or benefits offered.  Remote working arrangements available.
