International Tour Operations Coordinator
Reporting to the Director of International Operations and Vice President of Operations, the position will be responsible for the daily operations of our international tour programs.
Responsibilities and Duties
Prepare passenger manifests, rooming lists and other lists as needed per departure
Manage group departure files as handed off from product development
Communicate program requirements to suppliers on a timely basis
Efficiently update suppliers with all changes from pre-departure through operation of the tour
Research information and create passenger documentation (itineraries, general information documents, etc.)
Process passenger documents and prepare the mailings
Review supplier invoices and process payments
Prepare onboard materials for river cruises and coordinate with Marketing Dept to ensure timely delivery
Prepare Tour Manager / Cruise Director trip materials and ensure timely delivery
Monitor counts in reservation system to ensure no overbooking
Run reports to maintain accurate counts on optional excursions and coordinate components with suppliers accordingly
Assist with any other projects as needed
Work as a team member with other staff within the department and company
Qualifications and Skills
Ability to multi-task and meet deadlines
Experience with international contracts and foreign currency conversions
Travel industry experience - international destinations
Intermediate to Advanced skills with MS Office Suite, particularly Word and Excel
Detail oriented
Strong written and verbal communication skills
International travel experience helpful
